Behind the Scenes of a Seamlessly Organised Trip

“We would like to organise a trip to Greece for our students. Something including Athens, Delphi, and maybe an island. And if possible, some beach time as well. Could you help us?”


That question came to me a few months ago from a university. And that’s usually how it starts — with a few wishes, lots of enthusiasm, and no concrete plan yet. But that’s exactly the moment when I start piecing everything together. Because turning loose ideas into a smoothly running programme — that’s where my work begins.


First, I look at the purpose of the trip: should lectures be scheduled? Are there specific archaeological sites that matter? How intense should the programme be? And — importantly — does the group want to stay in a youth hostel, a comfortable hotel, or maybe a combination? Let’s be honest: not everyone finds 10 students sharing one room very “cozy.”


Then comes the real organisation. Hotels, coach transport, ferry tickets, lunch spots, museum opening times (and whether there’s a national holiday in between — always a bit tricky). I also arrange permits for guided tours and make sure the group can enter places like the Acropolis Museum or Delphi without hassle. And yes, I even book the tavernas where they cook just a bit better than the average tourist spot.


So, a lot happens behind the scenes. Like calling a local bus driver who wants to take a different route because of roadworks. Or making sure a forgotten laptop from Nafplion arrives in Athens before departure. I’m always on standby — usually in the background, but always close by.


When the group arrives, I make a point to meet them personally. To put faces to names, answer questions, and ease any concerns. For the group leaders, it’s reassuring to know there’s someone on-site who knows everything and takes care of everything.


At the end of the week, I see tired but happy students who have learned more than just what’s in their syllabus. And a teacher who says: “It’s so nice to actually join this time, instead of having to coordinate everything.”


That’s why I’ve loved doing this work for so many years.
